Warriors Election

Hello Warriors Parents!

As Kemptville Warriors proceeds with our transition to a registered, Non-Profit in accordance with The Ontario Not-For-Profit Corporations Act (ONCA), our next step is to hold a board election. Nominations for the new Board of Directors are now open and will close, April 10, 2024 at 11:59pm . The election will be conducted online via Election Buddy. We will also hold an in-person Annual General Meeting (AGM) to coincide with the close of voting. Nominees at the AGM will have the opportunity to speak to the members to outline their goals and vision for the Club. A Zoom link will be provided so all interested parties are able to attend.

Why:

On October 21, 2021, the province of Ontario enacted a law that requires many different types of organizations, including Kemptville Warriors Basketball, to become registered Non-Profits. This process must be in place by Oct 21, 2024. A key part of this process is to have in place an elected board that governs the organization, including drafting and upholding its by-laws.

As such, we invite all parents, coaches, and volunteers to this important meeting so that we will be well positioned to continue to provide Youth Basketball in the community. We look forward to your participation!

What:

Kemptville Warriors Basketball will hold elections for the following Board positions:

  1. President
  2. Vice Presidents (2): a VP of Girls Basketball and a VP of Boys Basketball
  3. Treasurer
  4. Secretary
  5. Registrar
  6. Equipment Manager
  7. Health Officer
  8. School Board Liaison Community Use of Schools (CUS)
  9. IT Representative
  10. Policy Compliance Representative

 Nominations

To be eligible for nomination a person must currently be affiliated with Warriors Basketball as a player’s parent, current Board Member, or a member of the coaching staff and herein are referred to as Members. The form to nominate a Member for election is below. Nominations for the Board must be submitted by April 10, 2024 at 11:59pm.

Individuals not currently affiliated with Warriors Basketball must be approved by the current Board to become a Member. Applicants for Membership must submit a resume with relevant experience along with letters of reference to the Board for consideration. Non-Members must submit their resume along with references by April 6, 2024 at 11:59pm, to be included on the ballot.

Nominees must accept the nomination via email before being included on the ballot. They will also be given the opportunity to submit posts to an election page that Members will have access to prior to the vote and the opportunity to speak at the AGM voting meeting.

Voting

Voting will be anonymous. Each family with a player registered on a 2023/2024 Warriors team and other eligible Members will be sent one ballot. A ballot will be emailed by April 12, 2024 to the primary contact on the players’ registration. For the election to comply with the ONCA we must have a quorum: at least half of the eligible voters must cast an online vote.

Where:

Club leadership and interim board members will convene at North Grenville District High School cafeteria April 14, 2024 at 3:30pm. All members are invited to join us in person or attend virtually via a Zoom (a link for the meeting will be sent out with voting information). Voting will close after the meeting at midnight on April 14, provided we have achieved a quorum (50% of eligible voters). {If at midnight following the AGM we have not achieved a quorum, voting will remain open for 2 days. Please vote early to ensure we have a quorum and you don’t miss your opportunity to vote.}

After we elect a board, the board will continue to build the By-laws and proceed with the ONCA process which must be complete by October.

The New Warriors Board of Directors will be made up of the following positions:

President
Oversee all aspects of the Club and ensure compliance with Provincial Law, and our governing sports organisations, Basketball Ontaro and Basketball Canada.

(Vice Presidents)
VP Boys Basketball
VP Girls Basketball
Work with the President to ensure their responsibilities are being fulfilled. Have an exceptional knowledge of either the Girls or Boys programs and a vision for the coming season for their portfolio.

Treasurer

As Treasurer of Kemptville Warriors Basketball Association, your duties include:
– overseeing accounts held by the Bank of Nova Scotia; monitoring the operating account, savings account, investment account and credit card account. Each month, you will review statements for these accounts, manage financial transactions, monitor account balances, verify any debits charged with the signing officers (Directors) and ensure accurate financial records are maintained.
– working closely with the Directors of KWBA establishing budgets for various activities such as equipment purchases, travel expenses, tournaments and any other operational costs. Co- ordinating with the Directors to issue cheques for all additional payments throughout the season such as Coach’s floats, uniforms, etc. Carefully planning and allocating financial resources with the Directors ensures KWBA financial stability.
-monitoring the online registration/payment platform, printing reports, verifying any late or delinquent payments and following up with parents to collect outstanding balances when necessary. This insures timely and accurate financial management for the club.
-connecting with KWBA Business Advisor at Bank of Nova Scotia to serve as a point of contact for any issues regarding accounts and to provide assistance to ensure smooth financial operations.
-documenting the finances month to month, keeping records of all transactions and financial activities. At year end, you will compile year-end totals and present to the Directors for discussion and verification. This ensures transparency and accuracy in the financial management of KWBA.
With Treasury duties now streamlined online and the payment/registration platform handling direct deposits, the workload for the Treasurer is reduced to approximately 6-8 hours a month.

Secretary

Registrar
Oversee registration and rostering.
Ensure fees are paid.
Manage JumpStart and bursary programs.

Equipment Manager
Responsible for ensuring appropriate supply of uniforms, balls and other equipment.
Collect and inventory all equipment at the end of the year and distribute back to teams at the beginning of the season.

Health Officer
Covid and Health Authority Compliance.
First aid training plan.
Order, stock and distribute first aid kits.

School Board Liaison Community Use of Schools (CUS)
Manage gym bookings and cancelations.
Team scheduling for practices and home games.

IT Representative
Electronic Registration, TeamSnap/Website/Social Media.
Marketing.
Social Media, promotions, club branding.

Policy Compliance Representative
Vulnerable Sector Check.
Waiver/Release forms.
Not-for-profit incorporation ONCA.
Club Constitution, and Bylaws.
Ensure due diligence.

Past President is acclaimed to the newly elected Board.

Technical Director will be appointed by the new Board via an application and selection process, to comply with OBA policy.
